An order associated with ChatGPT needs a traceable record of the sale, payment, deductions, and cash received. The discovery source alone does not establish the payment provider or the fee charged.

Identify where checkout and payment occur

As of October 6, 2026, Shopify describes ChatGPT as a discovery source that sends shoppers to the merchant’s online store to complete checkout. Shopify’s current ChatGPT guidance states that this flow has no additional ChatGPT selling fee; standard payment processing fees still apply. Ordinary platform, payment-processing and any separately contracted charges still need to be checked.

Use the actual checkout path and your current merchant agreement, order records, processor reports and invoices to establish which charges apply.

  • Discovery source: What referral or campaign information was retained?
  • Checkout location: Where did the customer complete the purchase?
  • Payment provider: Which provider processed the charge and produced the payout?
  • Fee evidence: Which agreement and transaction record explain each charge?

Record documented fees

Determine the charge from the applicable terms and the actual transaction detail. Check whether it was deducted from a payout, billed separately, refunded, or adjusted. A fee billed outside the settlement needs its own invoice or payment support.

Use an account or reporting dimension that retains the detail needed for your analysis. A separate account can be useful when a distinct charge needs tracking. A supported transaction-level report may also preserve the detail within an existing account. Choose the treatment with your accounting adviser and apply it consistently.

If the same charge appears in an invoice and a settlement report, confirm whether they describe one payment before recording both. Keep the original order, transaction, and payout references with the accounting record.

Reconcile the order through the existing payment process

Start with your current processor reconciliation. Identify how the order's payment, refunds, fees, and adjustments affect the amount available for payout. Match the payout to the bank and explain items that remain open.

  1. Confirm the order and payment identifiers, dates, currency, and amounts.
  2. Trace charges and adjustments to the transaction or settlement detail.
  3. Match the payout to the bank deposit and the general ledger.
  4. Document outstanding refunds, holds, timing differences, and missing records.

A separate clearing account may help when a new provider or payment flow requires its own reconciliation. The account structure should follow the actual posting and settlement process. An AI referral by itself does not require another clearing account.

Keep attribution separate from payment classification

Check the actual fields retained in the order record, export, and reporting tools. A discovery or referral source, a checkout location, and a payment provider describe different parts of the transaction. Retain each where the evidence supports it.

When a report combines several sources, document that limit. Missing attribution means the source is unknown or unavailable in that dataset. It does not establish that the source generated no orders.

Apply the same approach to marketplace sales. Use the information in the seller reports you can obtain. Avoid estimating an AI-specific share from marketplace-wide publicity or assigning a source that the order data does not identify.

Compare channel results on a stated cost basis

Before comparing orders from different sources, define which costs the comparison includes. Keep the period, sales basis, returns, product costs, fulfillment, payment charges, and other included costs consistent.

Use actual supported charges when available. Label estimates and assumptions, and identify costs or attribution that the records cannot separate. A comparison with missing inputs needs a stated limitation.

A close checklist for the first supported order

  • Order and payment references are retained.
  • Applicable charges tie to current terms and transaction support.
  • Payouts tie to bank deposits and ledger entries.
  • Refunds, adjustments, and open items have an explanation and owner.
  • The reporting source labels reflect the available evidence.

FAQ

Does every ChatGPT-related order carry the same fee?

Use the merchant terms and transaction records for the specific checkout and payment flow. A referral label does not establish a fee rate, who charges it, or how it is collected.

What if the customer checks out on my own site?

Trace the order through the payment provider and payout process used by your store. Retain any supported referral information separately, and confirm charges from the applicable terms and records.

What if AI attribution is missing?

Identify the missing field or reporting limit. Report the source as unknown or unavailable where appropriate, and avoid treating missing information as zero activity.

Do I need another clearing account?

Use the account structure needed to reconcile the actual payment flow. A new provider or separate settlement process may need separate tracking. An AI referral alone does not determine the account structure.

How to verify current platform terms

Current merchant-facing guidance should take priority over an older technical announcement when identifying the checkout experience available to a store.

A simple reconciliation example

Assume a completed $100 sale, no sales tax or shipping, and an actual $3 processing fee in the processor report. The expected payout is $97. Record the sale once, the supported $3 fee once, and the transfer from processor clearing to the bank. A ChatGPT referral label does not justify adding another fee or recording a second sale.

Keep marketing attribution in a separate reporting field. The financial sales channel can remain the online store while the recorded referral source is ChatGPT. Missing attribution should be identified as unavailable rather than treated as proof that no AI-referred orders occurred.
